Welcome to Alamance Academy Day ADMISSIONS

REGULAR ADMISSION

•Referral from school, mental health provider or parent

•Funded by: School district (IDEA, Medicaid), private insurance, or private pay

•Duration: Full academic year, renewable upon review

SHORT-TERM/RESPITE/EMERGENCY ADMISSION

•Referral from: school, mental health provider or parent

•Funded by: School district (as part of disciplinary alternative education), private pay, or Medicaid crisis stabilization services

•Duration: 3–30 days with possibility for extension

Eligibility Criteria

 To ensure Alamance Academy Day is the best fit for each student, applicants must be boys entering or enrolled in grades 5 through 8 and must meet one or more of the following criteria:

Primary Diagnosis

  • Student has a primary mental health or learning diagnosis (e.g., anxiety disorders, mood disorders, ADHD, learning disabilities, etc.).

Individualized Education Plan (IEP)

  • Student has an active IEP that includes therapeutic behavioral and academic interventions.

School History

  • Student has been suspended, expelled, or placed on extended leave from their home school.
  • Student requires short-term intensive intervention to successfully return to a less restrictive educational setting.

Educational Needs

  • Student has been unable to succeed in a traditional school setting due to emotional and/or behavioral challenges.
  • Student requires a highly structured, nurturing environment to support social, emotional, and academic growth.

Mental Health or Treatment History

  • Student is currently transitioning from or at risk of transitioning to residential placement or psychiatric hospitalization.
  • Student has been referred to a therapeutic day treatment program by a licensed mental health professional.

Family/Guardian Initiative

  • Student has a parent, guardian, or private-pay family seeking a nurturing, therapeutic, and academic alternative to traditional schooling.

Regular Admission and Enrollment Process

 

1. Initial Inquiry

  • Referral from home school principal or counselor, mental health provider or parent.

2. Intake Assessment

  • Schedule and complete a student intake assessment.

3. Application Submission

  • Complete and submit the Alamance Academy Day application form.

4. Records Release Authorization

  • Submit a signed Records Release Form to obtain academic, behavioral, and medical records.

5. Submission of Required Documents

  • Provide copies of:
    • Current IEP (if applicable)
    • Recent psychological evaluations
    • Academic records
    • Disciplinary history
    • Relevant medical information

6. Review of School Policies and Procedures

  • Parent/guardian and student review and sign acknowledgment of all school policies and procedures.

7. Financial Obligation/Agreement

  • Parent/guardian reviews and signs the Financial Responsibility Agreement, including tuition details, payment plans, and any additional fees.

8. Admissions Committee Review

  • The Program Director reviews all materials and makes an acceptance decision.

9. Acceptance Notification

  • Family receives written notification of acceptance or denial.
  • If accepted, an enrollment meeting is scheduled.

10. Enrollment and Orientation

  • Attend a family orientation session.
  • Finalize enrollment paperwork and student start date.

Respite/Emergency Admission and Enrollment Process

          

1. Emergency Intake Request

  • School principal or counselor, agency representative or parent/guardian contacts Alamance Academy Day requesting immediate placement.

2. Expedited Intake Assessment

  • Complete a rapid intake assessment (within 24–48 hours).

3. Application Submission

  • Submit an emergency application form.

4. Records Release Authorization

  • Provide signed Records Release Form to gather essential documents as quickly as possible.

5. Submission of Available Documents

  • Provide any available:
    • Current IEP (if applicable)
    • Recent behavior reports
    • Emergency care plans 
    • Relevant medical information

6. Review of School Policies and Procedures

  • Acknowledge and sign receipt of essential school policies and procedures at intake.

7. Financial Obligation/Agreement

  • Review and sign the Financial Agreement specific to respite/emergency admissions, including duration and payment terms.

8. Temporary Placement Approval

  • The Program Director approves emergency placement pending full review.

9. Full Enrollment Completion

  • Complete remaining admissions paperwork within 2 days of emergency placement.
